Start with complete equipment records
Calibration tracking is only as good as the equipment record it attaches to. Each instrument should have a manufacturer, model, serial number, location, operational status, purchase date, and warranty end date. These fields are rarely needed all at once — until they are, usually urgently, in an audit or a repair decision.
Define calibration schedules
Most instruments have a service interval from the manufacturer or your lab's own process. Record the interval as a next-due date rather than a vague cadence: after each calibration, the next due date is set immediately. A system that recomputes the next date automatically when a calibration is logged removes the arithmetic (and the forgetting) from the loop.
Work from due dates, not binders
A list of "calibrated sometime last year" entries cannot drive action. What works is a forward view: everything due within 30 days on a dashboard, everything overdue visible as such, and a reminder digest on a schedule. The goal is that the person responsible for the pipette set hears about the due date twice — from the system — before a missed due date becomes downtime.
Keep certificates with the record
Calibration certificates arrive as files and get lost in email. Attach the certificate to the calibration entry it belongs to: date, result (pass, fail, adjusted), responsible person, certificate file. Anyone reviewing the instrument's history later sees the paperwork next to the event it documents. Avoid claiming that keeping certificates alone satisfies any specific regulation — what they satisfy depends on your lab's own quality system.
Maintain the service history
Log every maintenance and calibration event with date, provider, cost, and notes. The history answers practical questions: which instrument keeps failing, what service actually cost last year, whether the provider's interval recommendation matches observed reality, and whether the equipment is worth another repair.
A workable routine
- One record per instrument, kept current (specs, location, status).
- Every calibration logged with result and certificate; next due date updated immediately.
- Maintenance events logged with provider and cost.
- Due-soon and overdue surfaced automatically — dashboard and scheduled reminders.
