Sample Tracking in Research Labs: A Practical Guide

What a sample record needs so that "where is it?" always has an answer — identity, location, status, ownership, history, and aliquot links.

Give every sample an identity

Sample tracking starts with identity: every physical sample gets an identifier that is written on the tube and recorded in the system. Human-readable IDs (project prefix + number) beat opaque codes for daily lab life; what matters is that the ID is unique, spoken out loud without ambiguity, and assigned consistently rather than chosen ad hoc per freezer box.

Record the location — and keep it current

The most common question in a lab is "where is sample X?" The record that answers it must be more trustworthy than anyone's memory, which means: a structured location (freezer, rack, box position — a hierarchy works better than free text), and a rule that a sample's recorded location changes the moment the sample does. A location that is updated "later" is a location that is wrong.

Track status

Samples accumulate states: active, consumed, disposed, archived. Tracking status prevents the classic freezer-cleanup awkwardness of rediscovering a sample that was consumed two projects ago, and keeps active-sample counts meaningful — dashboards and storage planning should count what is actually there.

Assign ownership

Every sample needs a person responsible for it — not necessarily its creator, but whoever answers for it now. Ownership matters at handovers: when a student graduates, their samples need an explicit destination rather than becoming orphaned tubes that everyone assumes someone else knows about.

Keep the history

A sample's value often depends on what happened to it. A location history — each move, with who moved it, when, and a note — lets you answer questions months later: whether a sample really thawed, how long something sat at room temperature, where a box lived before the freezer failure. History also builds trust in the system: people stop asking "but is the record actually right?"

Link aliquots to parents

Derivative samples — aliquots, splits, extracted lysates — should reference the parent they came from. Parent-child links turn "which culture did this lysate come from?" into a click instead of an archaeology project, and let you see all children of a stock when a parent becomes relevant.

Make everything searchable

The payoff of a good sample record is searchability: finding the vial by ID, type, note text, owner, or status in one query, instead of opening six freezer doors. Structured fields (type, status, owner, location) plus free-text notes give you both precise filters and forgiving search.

The discipline above is hard to maintain in a spreadsheet precisely because it is per-sample, per-event bookkeeping.
