Lab Inventory in Excel: When Spreadsheets Stop Working

A fair look at why spreadsheets are the default lab inventory tool — and the specific failure points that eventually push labs to a shared system.

Why Excel is attractive

Excel is the default for good reasons. It is free with software you already have, everyone knows how to edit it, there is no signup or training, and a 50-row inventory genuinely works fine in it. If your lab is small, your stock list is stable, and one disciplined person maintains the file, a spreadsheet can serve you for years. This article is not an argument against Excel — it is a map of where its limits actually are.

Common failure points

The problems show up predictably as a lab grows:

  • Concurrent edits. Two people open the file, both save, one set of changes silently disappears. Shared-drive locks and "final_v7_NEW.xlsx" filenames are symptoms of this.
  • No history. A quantity is wrong; nobody can say who changed it, when, or why. Without a record of movements, discrepancies can't be explained.
  • Expiry is a date column, not a system. Nothing surfaces an expired lot unless someone sorts the column — and the sorting never happens until something fails.
  • Locations live in text fields. "Freezer 2, second shelf, behind the buffers" is searchable only by whoever typed it.
  • One caretaker. When the person who understands the file leaves, the inventory leaves with them.

Expiry tracking in a spreadsheet

It is possible to track expiry in Excel with conditional formatting and discipline. The trouble is that expiry must be tracked per lot, while spreadsheets usually hold one row per product — so the second bottle of a reagent inherits the first bottle's date, or lots get separate rows that break quantity totals. Location tracking

Storage questions ("where is the remaining kanamycin?") need structured locations: a hierarchy of room → freezer → shelf, with stock tied to a place. In a spreadsheet this becomes free text, which works until the person who wrote "FRZ-2/B behind buffers" is on vacation.

Audit and history

A spreadsheet records its current state, not its past. Once several people depend on the inventory, "what happened to this stock?" needs an actual log — movements with timestamps, not a file full of overwritten cells.

Migration considerations

Moving off a spreadsheet is easier than it feels, because your sheet already contains the hard part — the data:

  1. Clean the list to one row per item, with columns for quantity, unit, location, supplier, and expiry where you have them.
  2. Import via CSV and review the validation preview before anything is written.
  3. Decide what becomes an item vs. a lot; expiry moves to lots.
  4. Invite the team with real roles, and let low-stock and expiry alerts take over the chasing.

The honest bottom line

If one person maintains a small, stable stock list for occasional users, Excel is fine. If several people need trustworthy answers daily, the spreadsheet has already stopped working even if nothing has visibly broken yet.
