What lab inventory management means
Laboratory inventory management is the practice of knowing, at any moment, what materials your lab holds, how much is usable, where it sits, and when it stops being usable. It covers reagents, consumables, buffers, kits, and everything else that runs out at the wrong moment. The goal is not bookkeeping for its own sake — it is being able to plan an experiment without first spending an afternoon auditing the freezer.
Item vs. lot vs. quantity
The single most useful distinction in lab inventory is separating three things spreadsheets usually blur together:
- Item — the product you buy: "PBS buffer 1x", "0.2 ml PCR tubes". It has a supplier, a minimum stock level, and a catalog identity.
- Lot — a physical batch of that item, received on a date and expiring on a date. Two lots of the same reagent can behave differently.
- Quantity in a place — stock: how much of a given lot currently sits in a specific freezer, shelf, or drawer.
Once you track at this level, the questions that were hard before become lookups: "is this lot expired?", "how much usable kanamycin do we have?", "which freezer holds the last two bottles of PBS?"
Storage locations
Locations work best as a simple hierarchy — building, room, freezer or cabinet, shelf or rack — rather than a flat list of names. A stock entry then points at a precise place, and finding a reagent becomes one search instead of a tour of cold rooms.
Expiry
Expiry belongs on the lot, not the item: the same product bought twice expires on different dates. Minimum stock
A minimum stock level per item is the line between "we noticed when we ran out" and "we were warned two weeks ago." Set it from consumption patterns: how much you use in a typical interval, plus a buffer for supplier lead time. Anything at or below that level should surface in a queue with the gap — the amount to reorder — rather than in someone's memory.
Inventory counts
Periodic counts verify that the system matches reality. With per-lot, per-location records, a count becomes spot-checking locations instead of re-entering a spreadsheet; discrepancies point to specific stock entries, and a movement history shows who used or moved what since the last count.
Spreadsheets: where they fit, where they break
Spreadsheets are a legitimate starting point — free, familiar, and fine for one careful caretaker of a small inventory.
